The limits of a paper guest book
A book and a pen on a table at the entrance. A lovely tradition; seeing the handwriting years later is a feeling of its own. But on the night three things happen: a queue builds up in front of the book, nobody walks back to the entrance in the middle of the party, and some of what's written can't be read. There are no photos in the book either, so over time you forget which note belongs to which moment.
What is a digital guest book?
A digital guest book gathers the notes and photos guests leave from their phones in one album. Each note stays with the name of the guest who wrote it and the photo they sent. The guest doesn't leave the table; the QR card is already in front of them.
A QR code guest book and a QR code wedding album are two names for the same thing: next to photos and videos, the upload page has an optional note field.
How does a QR code guest book work?
- The guest points their phone camera at the QR card on the table, and your album's upload page opens in the browser. No app, no sign-up.
- They type their name. It's typed once and remembered when they come back on the same phone.
- They pick their photos and videos. If they like, they write up to 500 characters in the "Leave a note" field; the note appears under the first photo they send.
- They send. If approval is on, the photo and note reach you first; once you approve, they appear in the album and on the slideshow on the screen.
You can see how it looks in the sample album: photos, guest names and the notes beneath them.
Paper book or digital guest book?
| Aspect | Paper book | Digital guest book |
|---|---|---|
| What's left | A handwritten note | Name, note, photos and videos |
| Who writes | Those who walk to the entrance table | Anyone who scans the QR at their table |
| Legibility | Depends on handwriting | Always readable |
| Keeping it | A physical object; can get lost | Open for the storage period; photos download as a ZIP |
| The feeling | The warmth of handwriting | The note sitting next to the photo of that moment |
They aren't rivals. If you love handwriting, keep the book at the entrance and put QR cards on the tables. Notes from the middle of the night come by phone, the ones from the welcome come in the book.
How to get guests writing
An empty note field makes most guests hesitate. A small prompt is enough:
- Change the card's wording. You can put a line like "Leave a photo and a note" in the card title; the title takes up to 60 characters and the small print up to 110.
- Ask one question. "Where did you first meet us?" or "A wish for us" works better than "write something".
- Show the notes on the screen. The live slideshow shows each photo with the guest's name and note; when others see a note up there, they write too.
- Don't forget older guests. A younger guest at the table can hold the phone and type; pointing the camera at the QR is all it takes.
What should guests write?
It's the question guests ask most. No long letter is needed; one sentence, a memory or a wish is enough. Put a few examples next to the card or on the invitation and more people write:
- "I still remember the summer evening you met. So glad you found each other."
- "Never forget this dance. Dance to the same song fifty years from now."
- "Wishing you lots of laughter and slow Sunday mornings."
- "I've known the bride since she was little; seeing her this happy makes us happy too."
The photo next to the note is what gives it meaning: a line read alongside the photo of the dance, the table or the hug says far more than a single line in a book.
Who keeps the notes and photos?
The album is open only to people who have the QR code or the link, and it's hidden from search engines. You can protect the gallery with a PIN or keep it closed altogether; the upload page stays open either way. Location data in photos is removed on the guest's phone before sending.
You can download the photos at any time as a single ZIP, organised into folders by guest name. The notes stay in the album under each photo; they aren't included in the ZIP. The album is open for a year from the event date; we email you 30 and 7 days before it ends, and you can extend it if you like.
